Step 1: Log into Your HubSpot Account
- Navigate to the HubSpot website.
- Enter your login credentials and access your dashboard.
Step 2: Install an SMS Integration
- Head to the HubSpot App Marketplace.
- Search for an SMS integration tool (like "SMSZap" or other alternatives).
- Select and install the preferred integration by following the on-screen instructions.
Step 3: Set up the SMS Integration
- Navigate to the installed SMS tool within HubSpot.
- Link your SMS gateway or provide necessary SMS credentials as prompted.
- Ensure you have SMS credits or a suitable plan active to send messages.
Step 4: Segment Your Important Leads
- Go to 'Contacts' in HubSpot.
- Use filters to segment the contacts or leads you consider important and wish to notify via SMS.
- Save this segment for easy access.
Step 5: Create a New Workflow
- Navigate to 'Automation' > 'Workflows.'
- Click 'Create workflow'.
- Select 'Start from scratch'.
Step 6: Define Your Workflow Triggers
- Choose 'Contact-based' as the type of workflow.
- In the workflow editor, set your trigger. For instance, it could be when a contact has been updated, when they've submitted a form, or any other relevant trigger.
- Select the segment you created in Step 4 as the list of contacts to apply this workflow to.
Step 7: Set Up the SMS Action
- In the workflow editor, click the '+' button to add an action.
- From the dropdown, select the option to send an SMS (this option will be present because of the integration you installed).
- Craft your SMS message. Ensure you include personalization tokens, like the lead's name, to make your messages more engaging.
Step 8: Configure Other Actions (Optional)
- If you wish to add more steps to the workflow, like sending an internal email notification alongside the SMS, configure it by adding additional actions.
Step 9: Review and Test Your Workflow
- Before activating, test your workflow to ensure it works as intended.
- Use the 'Test' function in the workflow editor.
- Check if an SMS is received on the designated number when the defined trigger is met.
Step 10: Activate Your Workflow
- Once you're satisfied with the setup, switch the workflow from 'Draft' to 'Live'.
- Monitor its performance periodically to ensure everything is running smoothly.
Note: Charges may apply for sending SMS messages based on your SMS provider or the integration you've chosen. Always keep an eye on your SMS credits to avoid disruptions.
