Step 1: Log into Your HubSpot Dashboard
- Go to the HubSpot login page.
- Enter your email and password to sign in.
Step 2: Navigate to Automation Tools
- On the main navigation bar, hover over the "Automation" option.
- Select "Workflows" from the dropdown menu.
Step 3: Create a New Workflow
- Click on the "Create workflow" button.
- Opt for "Contact-based" when prompted.
Step 4: Name Your Workflow
- Provide a descriptive name for your workflow, something like "Lead Assignment to Sales Team."
Step 5: Define a Trigger
- Click on "Set up trigger" and select your desired criteria. This could be based on a form submission, a page view, or any other lead qualification metric.
Step 6: Click the "+" Icon to Add an Action
- After setting your trigger, you'll have an option to add an action.
- Click the "+" icon beneath the trigger.
Step 7: Assign Lead Rotation
- From the action options, choose "Rotate leads."
- This feature will ensure the automatic distribution of leads to designated sales team members.
Step 8: Select Sales Team Members
- Choose the team members who should receive these leads. You can do this individually or by selecting a team.
- Decide on the rotation type:
- "Evenly" (leads are distributed equally) or
- "In order" (based on a pre-defined sequence).
Step 9: Configure Notification Settings (Optional)
- If you wish to notify team members when a lead is assigned, choose the "Send notification email" option.
Step 10: Add Additional Actions (if needed)
- Depending on your process, you might want to:
- Add the lead to a specific list.
- Enroll the lead in a nurturing email sequence.
- Update a contact property value.
- Use the "+" icon again to add these actions.
Step 11: Review the Workflow
- Go over the trigger and actions to ensure everything is set up correctly.
- Make any necessary adjustments.
Step 12: Turn on the Workflow
- Once satisfied with the setup, click on the "Review" tab at the top.
- After reviewing, click on the "Turn on" button.
Step 13: Monitor and Adjust as Necessary
- Periodically review the workflow to ensure leads are being assigned correctly.
- Make any adjustments based on feedback from the sales team or changes in your lead distribution strategy.
