Step 1: Log in to Your HubSpot Account
- Navigate to the HubSpot homepage.
- Input your login credentials and sign in.
Step 2: Navigate to the Collected Forms Tool
- From the main navigation bar, hover over "Contacts."
- Choose "Forms" from the dropdown menu.
- Once in the forms dashboard, find and click on the "Collected Forms" tab.
Step 3: Enable Collected Forms
- If it's your first time accessing Collected Forms, there might be an "Enable" button.
- Click "Enable" to allow HubSpot to start detecting and capturing submissions from your site's forms.
Step 4: Confirm the HubSpot Tracking Code is Installed
- Ensure the HubSpot tracking code is active on every page of your website with a form.
- This tracking code is essential as it allows HubSpot to detect and capture form submissions.
Step 5: Add Your Website Domain
- Inside the "Collected Forms" section, there might be a field asking for domains to track.
- Input the domain of your website. This tells HubSpot which site(s) to monitor for form submissions.
Step 6: Match Form Fields to HubSpot Contact Properties
- Once HubSpot starts detecting submissions from your forms, it will attempt to map the form fields to existing contact properties.
- For any fields HubSpot cannot automatically match:
- A prompt will appear, allowing you to map these fields manually.
- Ensure all relevant fields are mapped to their corresponding contact properties in HubSpot.
Step 7: Configure Additional Options (Optional)
- Decide how you want to manage duplicate submissions or how to deal with submissions that lack email addresses.
- Set these preferences within the "Collected Forms" settings.
Step 8: Test the Integration
- To ensure everything is working:
- Visit your website.
- Fill out one of your external forms.
- Return to HubSpot and navigate to the "Contacts" section.
- Check if the new contact (from your test submission) appears in the database.
Step 9: Set Up Notifications (Optional)
- If you want to be alerted about new submissions:
- In the "Collected Forms" section, find the "Email notifications" option.
- Input the desired email address to receive notifications.
- Save changes.
Step 10: Regularly Review Captured Data
- Periodically return to the "Collected Forms" tab in HubSpot.
- This will allow you to monitor which external forms are sending data, review new submissions, and ensure data mapping remains accurate.
